Our Story

Our story

Notary Pin was started in 2022 by Jonathan Tran and William Reese, two mobile notaries working in San Diego, California.

They kept running into each other at networking events, and kept having the same conversation. In their own work they saw customers call several notaries before anyone returned the call. Apostilles were worse. Every state has its own rules, the wrong version of a document gets sent back, and a visa interview or a closing date does not move just because the paperwork is confusing.

They started Notary Pin so a customer could call one number and keep the same contact through the job.

Apostille and document authentication is the core of what we do, and we handle it for you. We route eligible U.S. documents through the state or federal authentication process required for use abroad, adding embassy legalization when the destination country requires it, and shipping the finished document where it needs to go. Processing time depends on the document and the issuing state, and most states offer three routes. Priority processing is 1 business day: our local agent carries your document into the Secretary of State's office, waits while it is stamped, and ships it back out the same day. Standard processing is 3 to 5 business days: your document goes in with a batch of others headed to the same office, which is why it takes a few days longer. Mail-in processing runs about two weeks for most states, and one to three months for a few. Priority, standard, and mail-in describe how we route your document, not a government guarantee. Before you book, we confirm the options for your state and an expected end-to-end timeline. Same-day handling is possible in some cases.

Our headquarters is in San Diego, but we process every order in the state that issued your document. Where the fastest turnaround options exist, our local agents walk documents into the Secretary of State offices and the U.S. Department of State; everywhere else, we use established mail-in channels. We also arrange mobile notarization nationwide with independent commissioned notaries, and we verify that each notary we send holds an active commission in the state where the appointment takes place.

Every order starts with a named specialist who walks you through the options and the price. Once you book, our fulfillment team takes over your file and your updates until your documents are back in your hands. Either way, you talk to a person who knows your order.
